What they built.
Techno Tim combined Paperless-ngx, a document archive, with local AI processing for scanned documents. The workflow adds two kinds of information: extracted text from the image, often called OCR, and metadata used to describe and organize the document. His walkthrough includes before-and-after OCR examples and a published configuration showing how the components were connected.
A scan first enters Paperless-ngx. Configured integrations then use models running through Ollama to extract text or propose metadata, and return the results to the archive for search and review. The published setup names llama3.2:3b for metadata and minicpm-v:8b for vision-based text extraction. A person still needs to compare the extracted text with the original scan before relying on it.
Guide, demonstration video and public configuration show a real implementation, not a controlled OCR accuracy benchmark.
Read Tim's walkthroughHow the tools work together
Paperless-ngx already provides an archive and ordinary OCR without an AI model. In Tim’s added AI path, Ollama runs selected models, while Paperless-GPT and Paperless-AI connect processing to the archive. The integrations select a document, submit content and return text or metadata to searchable fields. Installing a model alone does not supply that connection.
Workflow at a glance
Add a scan to the archive
Paperless-ngx receives and organizes the document.
Process selected documents
The configured local models extract text or propose metadata through the AI integrations.
Search and review the result
Results return to Paperless. Inspect the text against the original before relying on it.
How you could adapt the idea
Learn from the architecture rather than installing every historical component unchanged. Paperless-AI is now marked unmaintained, and the stack requires server administration, backups and suitable hardware. The demonstrated local-model configuration avoids sending those document contents to a hosted model; changing the connected services can change that boundary. Start any adaptation with harmless scans and verify extracted text. The linked PDF workshop is a separate fictional exercise, not a reproduction of Tim's archive.
Effort, cost and limitations
- Effort
- Advanced setup: Docker/server administration, backups, model downloads and suitable hardware. The repository warns against direct internet exposure.
- Cost
- No total deployment cost is disclosed. Local hardware, electricity and maintenance remain costs.
Paperless-AI's maintainer now says the repository is not maintained. This historical stack is not a recommendation to deploy every component unchanged; check current Paperless-ngx documentation.
Local inference keeps document content away from a hosted model when configured as shown. Other endpoints or integrations change that boundary.
